AI Usage Policy

We use AI tools to work faster and more thoroughly, but a person at DotScott checks and approves everything before it reaches you or your website. This page explains what that means for you as a client. It is not a list of every tool we use, and we will update it as the tools change.

Where AI helps in your project

AI speeds up the groundwork so more of your budget goes on thinking, checking and getting things right. Depending on the work you have asked for, we may use it to:

  • draft first versions of website copy, page titles and descriptions, usually from notes or a recorded discovery conversation with you
  • suggest page structures, layouts and design ideas
  • write and check code, including CSS for your site
  • research keywords and review how visible your business is in search engines and AI assistants
  • create or edit images, where you have asked for them
  • summarise meetings and organise project tasks

AI is a starting point, never the finished article.

What always stays with a person

  • Review before use. Anything AI produces is checked and edited by someone at DotScott before it goes anywhere near you or your site.
  • Your approval before publishing. You see and approve content and design before your website goes live. Nothing written by AI is published on your behalf without that sign-off.
  • AI images need your sign-off. We tell you when an image has been created or altered with AI, and we only use it once you have approved it.
  • Accountability is ours. Using AI doesn’t change who is responsible for the work. If something is wrong, it’s on us to fix it, not the tool.

Your information

  • Paid, business-grade tools only. We use paid accounts with established providers, never free consumer tools, for client work.
  • Not used to train AI. We choose settings so that providers do not use your information to train their AI models.
  • Only what the job needs. We share with an AI tool only the information needed for the task in hand. We don’t put passwords, payment details or sensitive personal data into AI tools.
  • Recordings and transcripts. If we record a discovery conversation, we tell you first, use the transcript to draft your content, and don’t use it for anything else.
  • Enquiries from your website. Where we look after your site, AI tools may help us check that your contact forms are working and enquiries are arriving. We treat that information as confidential.
  • Data protection. DotScott is registered with the Information Commissioner’s Office (ICO) and handles personal data in line with UK GDPR. Our privacy notice explains this in full.

Your website

Some AI tools can make changes to a website directly, under our control. When we use them on your site:

  • we take a backup first wherever possible, and our hosting backups are tested and used regularly
  • larger changes are made on a private copy of your site (a staging site) before going live, where the project allows
  • every change is logged, so we can see what changed and put it back if needed
  • each person working on your site has their own login, and access is removed when the work ends

Your choices

If you would rather we didn’t use AI on part of your project, or on certain information, just tell us at the start. We will agree how to handle it and explain any effect on time or cost.
